Notifications and activity email
Agent Builder keeps you in the loop without you having to keep the Tasks screen open. A notifications inbox and an admin-bar badge tell you when a task needs your approval or has finished, and an optional daily digest email summarizes what your agents did — sent only to administrators, using WordPress’s own mail function, and on by default.
The activity email uses
wp_mail— your site’s normal outgoing mail — not an external email service. No conversation content or prompts are ever included; it’s a summary of what happened (which agents ran, what’s waiting on you, what finished).
Overview
There are three places notifications show up:
- Notifications inbox — inside Agent Builder, a running list of task and agent events
- Admin-bar badge — a live count next to the Agent Builder icon in wp-admin, visible from any screen
- Activity digest email — a periodic summary sent to administrators

The email has three settings, under Agent Builder → Settings → Security:
| Setting | What it does |
|---|---|
| Off | No activity email is sent to anyone. |
| Daily (default) | One summary email per day to administrators, covering what agents did since the last digest. |
| Instant | A separate email as soon as each notification-worthy event happens, instead of batching into a daily summary. |

Even when the site-wide setting is Daily or Instant, each individual administrator can opt out for themselves from their own Profile screen — the site setting controls whether the digest exists at all, and the per-user toggle controls whether that particular person receives it.
Notification and digest data is covered by WordPress’s built-in personal-data export and erase tools, the same as any other personal data on your site.
How to
Change the site-wide notification email frequency
- Go to Agent Builder → Settings → Security
- Find the activity email setting
- Choose Off, Daily, or Instant
- Save changes
Opt out of the digest as an individual administrator
- Go to your Profile screen in wp-admin (Users → Profile)
- Find the Agent Builder notifications section
- Turn off the activity email for your own account
- Save your profile — other administrators are unaffected

Check what needs your attention
- Look for the badge next to the Agent Builder icon in the wp-admin admin bar
- Click it to open the notifications inbox, or go straight to Agent Builder → Tasks → Waiting on you
- Review and act on each item — the badge count updates as you clear them
FAQ
Who receives the activity digest by default?
Site administrators only. It isn’t sent to editors, authors, or any other role, and any administrator can opt out individually from their Profile screen.
If I switch to Instant, will I get flooded with email?
Instant sends one email per notification-worthy event (a task finishing, or a task landing in “Waiting on you”) rather than batching them, so on a busy site it can mean more email than the Daily digest. Per-user opt-out still applies if it becomes too much for a particular administrator.
Does the notification email use an external service?
No. It’s sent using wp_mail, WordPress’s own mail function — the same one your site already uses for password resets and comment notifications. No third-party email API is involved.
Can I turn off notifications entirely?
You can turn the email off site-wide by choosing Off in Settings → Security. The in-admin notifications inbox and admin-bar badge are separate from the email setting and reflect the same underlying task events regardless.
Is my notification data covered by GDPR-style data requests?
Yes — notification records and email preferences are included in WordPress’s built-in personal-data export and erase tools (Tools → Export/Erase Personal Data), the same as other personal data Agent Builder stores about a user.
